Accounts Payable / Receivable & Special Projects Administrative Representative

Job Summary

  • Proactively support a wide range administrative duties and processes
  • Proactively support of a wide range financial activities including, but not limited to, AP, AR, government accounting and compliance issues, ensuring effective compliance with the Federal Acquisition Regulations (FAR) and Cost Accounting Standards (CAS)
  • Be accountable to support the company vision and facilitate the implementation of consolidated, simplified, and standardized financial reporting processes
  • Provide administrative support for key business processes including the annual operating plan (AOP), strategic plan (STRAP), financial forecasts, and weekly pulse
  • Work with DSI leaders to coordinate compliance activities (ISO 9001:2015) with business needs
  • Support transition and implementation planning effort of ERP software
  • Works multiple priority activities concurrently that require extensive coordination with multiple managers, time zones, and follow-through
  • Schedules appointments and meetings, manages calendars, travel, expense reports and provide help provide coordination and support for team meetings and other activities
  • Provide Excel support and MS Project as required
  • Develop and/or update Power Point material as required by business managers
  • The position utilizes extensive knowledge of company operations, policies, and department functions in performing duties, many of which are confidential in nature, with minimal direction
  • Make complex travel arrangements; manage travel expense reporting
  • Exercise good judgment in setting task priorities
  • Must be self motivated, professional, and tactful; possess strong problem solving and accuracy skills
  • Communicate clearly and concisely in oral and written format with managers and employees of all levels
  • Manage multiple priority activities concurrently that require considerable coordination and follow through to meet requirements
  • Initiative, strong organizational and communication skills, attention to detail, follow through and commitment are all critical to this role

Basic Qualifications

  • High School diploma or equivalent
  • A minimum of 5 years of directly related work experience
  • 2 or more years experience working with Microsoft Office in a business environment
  • Strong MS office skills
  • Work efficiently and effectively in a demanding environment
  • Strong communication skills
  • Skilled at organizing administrative processes and systems
  • Must have advanced proficiency in various software programs including MS PowerPoint, Excel, Outlook Word, and MS Project
  • Degree in business or related field preferred
  • Handle multiple tasks simultaneously and autonomously
  • Must be detail oriented; possess executive presence, maturity and judgment
  • Excellent interpersonal, organization and communication skills
  • Strong problem solving skills that allows to proactively anticipate requirements
  • Able to maintain a high degree of confidentiality
  • Must be enthusiastic with a positive outlook and “can-do” attitude
